1:1 AI coaching for business owners

Every business has a few places where work piles up and growth stalls.

In weekly 1:1 coaching calls, we help you find yours, show you which AI workflows get you past them, and guide your team while they put them in place.

Free 30-minute call. We look at how your business runs today and point to the bottleneck that's costing you the most.

Animated illustration. Four areas of a business each have a bottleneck: client reports, quotes, follow-ups and owner approvals. Each one is mapped to an AI workflow and moves from bottleneck to workflow in place.

Growth stalls at the bottleneck.

In most small businesses, a few places decide how much you can take on: the owner's inbox, client delivery, quotes, reporting, the one person who knows how everything fits together. When those fill up, everything behind them waits.

AI can take a lot of that load. Most owners still don't use it that way, for three reasons:

  1. 01

    Nobody has audited the work.

You feel the bottlenecks every week, but nobody has sat down and mapped where the hours go, what's repetitive and which opportunities slip through.

  2. 02

AI is still a chat window.

Someone asks ChatGPT a question now and then. It knows nothing about your business, so the answers stay generic and nothing about how the work runs changes.

  3. 03

You don't know which workflow fits.

There's a new tool every week. Without someone to explain what each kind of workflow does and where it fits, it's hard to know where to start.

That's the job of the coaching: find the bottlenecks with you, and show you how AI breaks them.

What the coaching covers

What we work on together.

Coaching is weekly 1:1 calls of 1 to 2 hours, over about two months. We look at your business with you, then go deep on the parts that hold back growth. Your team sets up the workflows between calls, and we review them each week.

What we look at first

  1. 01

Your processes. How work moves from first contact to paid invoice.

  2. 02

Client work. Where delivery slows down and quality depends on one person.

  3. 03

Your team's time. Who spends their week on what, and what only they should be doing.

  4. 04

Missed opportunities. Leads, upsells and work you turn down because nobody has time.

  • 01

Find where work piles up and growth stalls.

We go through your business with you, area by area, and map where the hours go. You come out with a clear list of the bottlenecks that cost you the most, ranked by what fixing them would give back.

  • 02

The work and revenue that slips through today.

Some of the biggest gains aren't about saving time. They're the leads that never get a follow-up, the clients who'd buy more if someone asked, the content that never gets made. We help you spot them and see what AI could pick up.

  • 03

What it does, which tools fit, and where a person stays in the loop.

For every bottleneck, we walk you through the workflows that could break it: drafting, summarizing, research, follow-ups, reporting, checking work against your standards. You understand how each one works and what it needs before your team sets anything up.

  • 04

Rules on what's approved, what data goes where, and who reviews.

Without rules, AI use is personal and uneven: a few enthusiasts, a few sceptics, client data in places it shouldn't be. We help you set simple rules your team can follow.

  • 05

Your team does the setup. We're there every week.

Between calls, you and your team put the workflows in place. Each week we look at what worked, fix what didn't and move to the next bottleneck. By the end, spotting and breaking a bottleneck is something you know how to do on your own.

Why AI gives generic answers

AI is only as good as what you give it.

In most businesses, AI lives in a browser tab. Someone types a question, copies the answer and starts again the next day. It knows nothing about your clients, your prices or how you do things, so what comes back sounds like everyone else.

Once your information is organized, the workflows your team sets up work from your own material: your past work, your price list, your way of doing things. We show you how to get it in order, step by step.

  1. 01

Collect. Find the information your business already runs on: files, emails, price lists, past work, the things people know by heart.

  2. 02

Organize. Put it in one place and a shape AI can use, with clear rules on what's shared and what stays private.

  3. 03

Put it to work. Point each workflow at the right information, so what it produces sounds like you and follows your standards.

Showing: Chat window. AI sits in a browser tab, cut off from your files, prices and know-how.

This is the difference between asking AI a question and giving it what it needs to do the work.

We show you how to set this up. Your team does it, and your information stays in your own accounts.

Get more out of the team you have.

Part of the coaching is looking at how your people spend their week. With the right AI workflows, each person can take on work that used to wait for a specialist, an agency or you. Select an example.

Who
An office manager with no technical background.
Before
The same spreadsheet gets copied, cleaned and sent every week. It's too small a job for a developer and nobody else knows how to change it.
After coaching
The office manager set up a workflow that drafts the weekly sheet from the source data and flags anything unusual for a quick check.
What we cover in coaching
How to spot repetitive work worth handing to AI, which tools fit, and where a person checks the result.

One bottleneck, from found to broken.

Here's the same problem followed two ways: an owner trying to figure out AI on their own, and an owner working through it with weekly coaching. The example is quotes that take too long to go out.

  1. Notice

    On your own

Quotes are slow and some leads go cold. It feels like a busy season, so nothing changes.

  2. Understand

    On your own

The owner asks a chatbot how to speed up quoting and gets a generic list of software.

  3. Choose

    On your own

A tool is picked from a demo. Nobody checked whether it fits how the business prices.

  4. Set up

    On your own

The tool is configured around its own template. Half the team never uses it.

  5. Run

    On your own

When the business changes, nobody knows how to change the tool.

  6. Next

    On your own

The next problem starts the same way: another search, another tool.

How the coaching runs.

Weekly 1:1 calls over about two months. Each call works on your real business, and each week your team puts something new in place.

  1. Free 30-minute call.

We look at how your business runs today and at how you use AI now. You leave knowing where your biggest bottleneck probably is, and whether coaching is a fit.

  2. Audit your business.

The first calls map where the hours go, where work piles up and which opportunities slip through. You get a ranked list of bottlenecks to work on.

  3. Break bottlenecks, one by one.

For each bottleneck, we walk you through the AI workflow that fits. Your team sets it up between calls, and we review what worked and fix what didn't.

  4. Make it stick.

We set the rules for how your team uses AI and leave you with the method to find and break the next bottleneck without us.

Your time commitment: one call of 1 to 2 hours a week for about two months, plus time between calls for your team to put the workflows in place.

We coach what we use.

We don't coach from slides. We use AI every day to run real work, and that's where the method comes from.

What we run

Our own AI systems

We build and run our own AI agent systems for research, internal tools, pitch decks and more. That daily use is why we can tell you which workflows hold up in a real business and which ones only look good in a demo.

  • Coaching, not outsourcing.

Your team sets up the workflows, so the know-how stays in your business.

  • Honest about fit.

If coaching isn't right for you, we say so on the first call.

  • We say what not to automate.

Some work should stay with people. We tell you which.

  • Your rules, your data.

Everything your team sets up stays in your own accounts.

Common questions.

  • What does the coaching actually involve?

Weekly 1:1 calls of 1 to 2 hours, over about two months. We audit your business with you, find the bottlenecks and missed opportunities, and walk you through the AI workflows that break them. Between calls, your team puts them in place and we review the results each week.

  • Do you build the automations for us?

No. This is coaching. We help you find what to fix, understand the workflows that fit and plan how to set them up. Your team does the setup, with our guidance every week. That way the know-how stays in your business.

  • We already use ChatGPT. Isn't that enough?

It's a start. A chat window helps one person with one question. It doesn't know your business and doesn't change how the work runs. The coaching is about finding where AI would make a real difference and setting it up properly.

  • Do I need to be technical?

No. The coaching is built for owners, not engineers. We explain every workflow in plain language and start from where you are.

  • Can my team join the calls?

Yes. The person who runs your day-to-day is often the right one to bring in, since they'll be the one putting the workflows in place.

  • What does it cost?

It depends on your business and what we decide to work on. You get a clear price on the free call, before you commit to anything.

  • What happens to our data?

We help you set clear rules on which tools are approved and what data goes into them. Everything your team sets up stays in your own accounts.

  • Will AI replace my staff?

The aim is the opposite: getting more out of the team you have. Most bottlenecks we look at are work that piles up on a few people. Breaking them frees those people for the work only they can do.

  • Do you guarantee results?

No. Results depend on your business and on how much your team puts in between calls. What we commit to is coaching on your real business every week, and helping you find and break the bottlenecks that slow you down.
